Excel Tips Keyboard Shortcut

Quick access to Excel formula bar via keyboard

A quick keyboard shortcut puts you right into the Formula bar. You don't need the mouse at all!

When entering formulas, you select a cell and start typing. To edit an existing formula, you probably make changes in the Formula bar. Recently, I noticed several Excel students reaching for the mouse and clicking the Formula bar to edit formulas. That method’s Okay, but some people find it easier to work from the keyboard as much as possible. If that describes you, press [F2] instead of reaching for the mouse the next time you want to edit an existing formula. To me, it hardly seemed worth mentioning. Admittedly, substituting a single keystroke for a mouse click doesn’t seem like a big deal, unless you prefer the keyboard (at least most of the time). The keyboard approach isn’t more efficient, it’s just different.

If pressing [F2] positions the cursor in the cell instead of the Formula bar, do the following:

1-From the Tools menu, choose Options.
2-Click the Edit tab.
3-Uncheck the Edit Directly In Cell option in the Settings area.
4-Click OK.

If you’re using Excel 2007, do the following:

1-Click the Office button and then click Excel Options (at the bottom right).
2-Select Advanced in the left pane.
3-Uncheck the Allow Editing Directly In Cell option.
4-Click OK.

Keyboard shortcuts to speed formatting in Excel worksheets

By now, most Office users probably know the Bold, Italic, and Underline shortcuts as well as they know their own names. (I’ve included them here because someone will surely take me to task if I leave them out.) But the rest of these shortcuts are less well known, even though you might actually need to apply, say, the Currency format to data more often than Underline or Italic.

These are standard, practical shortcuts that can save you time in earlier versions of Excel — but they’re especially useful in Excel 2007. Although the formats are accessible from the Home tab in that version, it could be years, possibly decades, before you develop the habit of locating them quickly. And if you’re working in a different tab, you don’t want to have to keep switching back to the Home tab just to format the data you’re working on.

Action | Shortcut
Bold the selection ( Ctrl+B )

Italicize the selection ( Ctrl+I )

Underline the selection ( Ctrl+U )

Strike through the selection ( Ctrl+5 )

Open the Style dialog box ( Alt+’ )

Open the Format Cells dialog box ( Ctrl+1 )

Apply the General format ( Ctrl+Shift+~ )

Apply the Currency format ( Ctrl+Shift+$ )

Apply the Percentage format ( Ctrl+Shift+% )

Apply the Date format ( Ctrl+Shift+# )

Apply the Time format ( Ctrl+Shift+@ )

Apply the Number format ( Ctrl+Shift+! )

Apply the Exponential number format ( Ctrl+Shift+^ )

Apply an outline border to the selection ( Ctrl+Shift+& )

Remove an outline border from the selection ( Ctrl+Shift +_ )

Shortcuts can save you a considerable amount of time when you’re entering or modifying data in a worksheet — but only if you can remember them. This list offers a quick reminder of some old standbys, along with a few shortcuts that are less well known but equally useful.

Action | Shortcut
Complete an entry and move to the next cell ( Enter )

Insert a new line within a cell ( Alt+Enter )

Enable editing within a cell ( F2 )

Fill selected cells with an entry you typed in one cell ( Ctrl+Enter )

Cancel an entry ( Esc )

Fill data down through selected cells ( Ctrl+D )

Fill data through selected cells to the right ( Ctrl+R )

Create a name ( Ctrl+F3 )

Insert a hyperlink ( Ctrl+K )

Insert the current date ( Ctrl and ; (semicolon) )

Insert the current time ( Ctrl and : (colon) )

Delete from the insertion point to the end of the line ( Ctrl+Delete )

Add blank cells ( Ctrl and Shift+ (plus) )

Delete selected cells ( Ctrl and - (hyphen) )

Create a chart from a range of data ( F11 )

Small Laptop - ASUS Eee PC

ASUS Eee PC is a good option for a lightweight laptop
(TechRepublic-article=Vincent Danen)

The ASUS Eee PC has become a very popular sub-notebook recently and has undergone quite a few revisions since it was first introduced. Initially it had a smaller screen size and a much smaller drive capacity, but the more recent ASUS Eee PC 900 has rectified many of the perceived shortcomings of previous models. The 900 has a larger 8.9? screen (compared to the 7? screen of previous models) and instead of coming with a smaller SSD (solid state drive) that previous versions provided (the 2GB, 4GB, and 8GB models), the 900 comes with 20GB across two drives (4GB and 16GB) for the Linux model.

With a comfortable keyboard that — while taking a little time to get used to — works quite well (certainly better than the Toshiba Libretto I had previously used as a sub-notebook), and the 1024×600 screen resolution, the Eee PC is a great little machine.

The Linux version comes with a tailored version of the Xandros Linux distribution. It has an innovative “home screen” that is great for those not used to Linux, as instead of calling applications by name, it calls them by function. For instance, to open Firefox you would click on the Web icon under the Internet section of the home screen. Likewise, to open Pidgin for instant messaging, the Messenger icon is available. Other examples of “applications” are the iGoogle, Wikipedia, and Internet Radio shortcuts, all of which open in Firefox.

Other tabs include Work, Learn, and Play. Under the Work tab the various OpenOffice applications can be found, simply titled Documents, Spreadsheets, and so forth. Under the Learn tab are various applications for children: Paint to load Tux Paint, Math takes you to a sub-tab that can teach fractions, geometry, and so forth. Under the Play tab are various fun programs like games, a media player, photo manager, video manager, and so forth.

With the included 1.3MB pixel Webcam, the Eee PC also bundles Skype so you can use it to do video chats.

To get started with it, ASUS has made the Eee PC extremely simple. Follow the first-time wizard, provide your user name, and you’re up and running. Setting up the wireless network is simple, and the basic Xandros distribution gives you the ability to tweak and personalize basic aspects of the interface.

Noted-if u guys need something small, easy to carry, for surfing internet using wireless or just for simple typing in word or excell, elegent look like corporate executive (for me it's look like a 'toy's') this laptop is what u looking for....

The Asus Eee PC 900 is a great out-of-the-box Linux laptop for new users. With the default Xandros install, everything just works. The boot speeds are amazing, and suspend/resume works great. Future versions of the Eee PC promise to be even more powerful while retaining the same form-factor.

Backup Datafile e-Mail Outlook

Another way to make a backup file, which is described in this article, involves exporting (copying) the contents of the message folder to a Personal Folders file (.pst) (Personal Folders file (.pst): Data file that stores your messages and other items on your computer. You can assign a .pst file to be the default delivery location for e-mail messages. You can use a .pst to organize and back up items for safekeeping.) using the Import and Export Wizard.

If you have an existing .pst file to which messages are being delivered, and you want to add the messages in your backed up .pst file to this .pst file, use the Import and Export Wizard to import the backed up .pst file.
How?

# On the File menu, click Import and Export.
# Click Import from another program or file, and then click Next.
# Click Personal Folder File (.pst), and then click Next.
# In the File to import box, specify the path and file name of the .pst file you want to import.
# Click one of the following:
Replace duplicates with items imported Existing data will be overwritten with the information in the file being imported.
Allow duplicates to be created Existing data will not be overwritten, and duplicate information will be added to the current Outlook folder.

-->Do not import duplicate items Existing data will be kept, and the duplicate information in the file will not be copied to the current Outlook folder.

Follow the remaining instructions in the Import and Export Wizard.
#-->Important You should not export items that were created in multiple languages or in a language that is not supported by your system code page to a file type that does not support Unicode. For example, if you have items created in multiple languages in a Microsoft Outlook Personal Folders file (.pst), you should not export the items to a Microsoft Outlook 97-2002 Personal Folders file (.pst). The latter file type does not support Unicode. Therefore, all items that contain characters in a language other than those supported by the system code page in text fields other than the body of items, such as To, Subject, and ContactName and BusinessTelephoneNumber properties of Contact items, will be interpreted incorrectly and displayed as question marks (?) and other unintelligible text.

If you just bought a new computer and want to use the .pst file that you backed up to create a new e-mail account, you can reconnect the backup data from your old computer to the new one.
